Warpstock 99 - Exhibitors Support

Dear Warpstock Exhibitor:

On behalf of the Warpstock Board of Directors, and the Atlanta 99 Event Team, let me thank you for participating in the third annual Warpstock conference. I’m looking forward to speaking with all of you in Atlanta. Plans are coming together very nicely, and this year promises to be one of the most exciting yet.

We have prepared this package for you, so that you know what to expect when you arrive at the Georgia International Convention Center in Atlanta. There’s a great deal of information here, and some of it requires your immediate attention, so please read all of this information carefully.

  • If you plan to rent equipment for use during the show, we absolutely must have your order by 5pm EDT Friday, October 8, 1999. Please fax your order to 856-234-1920.
  • If you don’t have hotel reservations, you need to make them immediately, or you may not be able to get into the headquarters hotel, which is adjacent to the Georgia International Convention Center. See the hotel information included in this packet.
  • If you are interested in including an advertisement in the program book, please send a digital graphic to Michael O’Keefe ceptor@stealth.net by 5pm EDT on Friday, October 8, 1999. Ad rates and insertion order are included in this packet.
  • Exhibitor registration will open at 11am on Friday, October 15, 1999 in the lobby of the Georgia International Convention Center.
  • We have included a "Warpstock Waiver of Claims" that must be signed by every exhibitor before you will be admitted to the exhibit hall. We have included a copy of this waiver below. Please fax a signed copy to 856-234-1920, or bring a signed copy with you. We will not be able to allow you to begin setup until this waiver has been signed.
  • All booth rental obligations must be paid in full before exhibitors can begin their booth setup. Company checks or money orders can be made payable to Warpstock, Inc.
  • Move in will begin on Friday, October 15th at 12 noon, and continue until 12 midnight. At midnight, the exhibit hall will be closed and locked. There will be absolutely no access to the exhibit hall between 12 midnight Friday and 8 am Saturday. Move in and set up will resume at 8am when the exhibit hall will be unlocked.
  • The exhibit hall will be opened to the guests and attendees at Warpstock at 12 noon on Saturday, and will remain open until 6:15pm on Saturday night. At 6:30pm the doors to the exhibit hall will be closed and locked. There will be absolutely no access to the exhibit hall between 6:30pm Saturday and 7:30am Sunday.
  • The exhibit hall will be open to the guests and attendees at Warpstock at 8am on Sunday, and will remain open until 6:15pm on Sunday.
  • Move out start on Sunday, October 17th, after the show floor closes at 6:15pm. Everything must be completely removed from the exhibit hall by 11:59pm on Sunday night.
  • The Georgia International Convention Center will provide security guards to patrol both inside and outside the building. The exhibit hall will be locked from 12 midnight Friday until 8am Saturday, and again from 6:30pm Saturday until 7:30am Sunday.
  • A special social event will be held on Saturday night at the Sheraton Gateway Hotel from 8pm until midnight. Food, entertainment and a cash bar will be available. Additional tickets will be available on site.

If you have not already made hotel reservations, please do so immediately, and make sure you tell them you’re with Warpstock. Our special rate has expired, but they should still have weekend or AAA rates available. The hotel is near the airport (approximately 3 miles), and shuttle service from the airport to the hotel will be available. Please let John Ratti, ratti@iname.com, know if you require any special assistance getting from the airport to the hotel.

Booth Description

Warpstock will provide each exhibitor with the following basic exhibit "booth".

  • 10' x 10' exhibit booth
  • Company ID sign
  • 6' skirted table
  • two chairs and a wastebasket
  • Booth Pipe and Drape, in show colors (Green and Blue)
  • 1 Ethernet connection, w/ Internet access. ISDN or shared 56K dial link will be utilized for the Internet connection. This connection is for your convenience, it is not intended for downloading fix paks and other large files. Additional network configuration information will be provided when you check-in at vendor registration booth on site.
  • 15A - 120V single outlet power outlet, and a 6 outlet surge protector

We realize that we had originally committed to providing carpeting in the exhibit hall, but the cost of the carpeting proved to be excessive, so we were forced to eliminate the carpeting from our show floor plans. We apologize for any inconvenience that this may cause.

Booth Assignments

The following booth assignments have already been made. If there is any problem with this assignment, please contact our Exhibit Hall coordinator, Milind Rao, milindr@bellsouth.net, immediately. If you are interested in a larger presence on the show floor, adjacent booths may be available at a discounted rate. Again, please contact Milind Rao to make these arrangements. Additional booth space will be allocated on a first-come, first served basis.

Attendee Raffle

As we have done in prior years, Warpstock will be holding an attendee raffle of various OS/2 trinkets, software and other memorabilia. This year, we have scheduled the raffle for the end of the day on Saturday and the closing session on Sunday. We will also be holding a special raffle during the Saturday night social event for those attending that event.

We are also requesting that all of the Warpstock exhibitors consider donating prizes (software, T-shirts, whatever you’ve got) for the raffle. If you want to participate in this raffle opportunity, please contact the raffle coordinator, Luc Van Bogaert, luc.vanbogaert@pandora.be and let him know that you’re interested in participating, and what you will be contributing to the raffle. Luc will make arrangements to collect your raffle donations on the show floor, or provide you with a shipping address. Please do not ship any materials to the GICC for Warpstock attendee raffle. Attendee Bags

All Warpstock attendees will receive a "goodie" bag at registration. We are offering all vendors an opportunity to include literature or other material (software) in the attendee bags. There will be no charge for participating in this. If you want to provide an insert for the attendee bag, please notify Luc Van Bogaert luc.vanbogaert@pandora.be. Please note that all material to be included in the attendee bags MUST be delivered to the GICC at 6pm on Friday. You will need to make your own shipping arrangements. Please do not ship any materials to the GICC for Warpstock attendee bags.

Convention Center Security

Warpstock will not provide any special security for the exhibit hall. The Georgia International Convention Center provides 24 hour patrols both inside and outside of the convention center. Our exhibit hall will be locked between 12 midnight Friday, October 15, 1999 and 8 am Saturday, October 16, 1999. It will also be locked between 6:30pm Saturday, October 16, 1999 and 7:30 am Sunday, October 17, 1999. THERE WILL BE NO ACCESS to the exhibit hall during these hours!

Saturday Night Warpstock Social Event

VOICE and Mensys will be sponsoring a very special social event for all interested Warpstock attendees and their guests. A buffet dinner, entertainment and a cash bar will be provided. Two admission tickets are included with each full booth registration. Additional social event tickets ($35 per person) will be available in the GICC registration area on Friday afternoon and Saturday morning until 12 noon.

Warpstock Program Book

Please verify your company description on our web site (http://www.warpstock.org/99/vendors_attending.html). We will be using this information to publish the Warpstock 99 program book. If you have any corrections, please send them to our webmaster Luc Van Bogaert vanbogaert@pandora.be by 5pm EDT on Friday, October 8, 1999. We will use this information to print the Warpstock program books.

We are also offering the exhibitors an opportunity to purchase advertising space in the program book. If you are interested in including an advertisement in the program book, please send a digital graphic to Michael O’Keefe ceptor@stealth.net by 5pm EDT on Friday, October 8, 1999. Ad rates and insertion order are included in this packet.

Speaker/Presentation Information

We realize that many of you will also be making presentations at Warpstock. We have created several presentation templates, and request that you use these for your presentations. These templates can be found on the Warpstock web site at http://www.warpstock.org/99/exhibitor_support.html. Please use these templates so that we can provide a consistent look for all Warpstock presentations. We are also planning on making all of the presentations available on a Warpstock 99 CD. We will contact you regarding this at a later time.

Shipping Information

All shipping will be the responsibility of the exhibitor. Vendors must make their own arrangements with the hotel and/or GICC for shipping and/or storing any material that they send to Atlanta for Warpstock 99. Warpstock, Inc. is not responsible for providing any storage space for any vendors.

Exhibitors can ship directly to the Sheraton Gateway, but not until immediately before the show. Shipments should be marked as follows:

These machines will NOT be pre-configured with OS/2, so make sure you bring everything that you need to install and configure OS/2, as well as any additional software you may need. Warpstock is not able to provide these resources.

Waiver of Claims

 

______________________(Exhibitor) assumes the entire responsibility and liability for losses, damages and claims arising out of injury to persons or damages to exhibitor's displays, equipment or other property brought upon the premises of the Georgia International Convention Center (GICC) and agrees to indemnify, defend and hold harmless the Warpstock, Inc., servants, agents and employees against all claims or expenses for such losses, including reasonable attorney's fees, arising out of the use of the GICC facilities or its owners, servants, agents, and employees.

The Exhibitor understands that neither the GICC or Warpstock, Inc. maintains insurance covering the Exhibitors property or lost revenue and it is the sole responsibility of the Exhibitor to obtain such insurance.

Anyone visiting, viewing or otherwise participating in the Exhibitor's exhibit is deemed to be the invitee or licensee of the Exhibitor rather than the invitee or licensee of Management, Sponsor, or Warpstock, Inc. Warpstock, Inc. shall not be liable for injury of any type from any cause to property of the Exhibitor or to persons conducting or otherwise participating in the conduct of the exhibit or to invitees or guests of the Exhibitor. The Exhibitor assumes full responsibility and liability for the actions of its agents, employees or independent contractors, whether acting within or without the scope of their authority, and agrees to save harmless Warpstock, Inc. from responsibility or liability resulting directly or indirectly, or jointly, from other causes which arise because of the actions or omissions of its agents, employees or independent contractors, whether acting within or without the scope of their authority.
